EXPLANATION OF THE CONSTRUCTION CONCEPTS FLOW
CHART

1. The first item used in the program is the estimating column in the Cost Variance Form.
This gives the general contractor a reference point to formalize the Real Property Purchase Agreement
(contract), Contract Allowance Addendum and Closing Cost Form.
2A. The sum total of each of the sub-sections on the Cost Variance Form allows the builder to
determine the cost of the project, thus solidifying the Contract amount. |

2B. In the hardcosts on the Cost Variance are several allowances. These allowances are built in to
the contract amount. The Contract Allowance Addendum is generated to note the exact amount the buyer is
allowed for these specific items.
2C. The sub-sections "Cash Needs" and "Estimated Costs" on the CostVariance also require an addendum.
The Closing Cost Form is a document which determines who will pay for or share specific expenses such as
appraisals and title policies. Again, these items are built into the contract amount and the addendum is
drawn to eliminate any confusion. |
3. After the contract and addendums have been signed the general contractor will then begin construction.
In order to maintain a smooth flowing and efficient project the builder will print off a Job Control Chart
to track which supplier or sub-contractor should be present on the job site.
4. When the Contract Allowance Addendum was signed, the client has been approved to choose specific items for the project. The general contractor will provide the client with a blank Color Control Chart to record these choices.
5A/5B. Using both the Color Control Chart and the Job Control Chart the general contractor will issue Purchase Orders to both sub-contractors (5A) and suppliers (5B) before work begins.
6. Every sub-contractor will receive a copy of the Purchase Order Terms. Suppliers do not receive these terms.
7. As Purchase Orders are issued the bid cost will transfer to the Cost Variance Form in the "Bid Cost" column. This allows the general contractor a preview of the costs as they occur.
8. On occasion the client may request a Change Order to the original plan and therefore contract amount. When this occurs the builder must schedule and issue a relevant Purchase Order and Terms sheet if necessary.
9. Also the builder will need to note this change on the Extras section of the Cost Variance so at closing the client will be charged or credited as appropriate for the change.
10. After a sub-contractor has completed the work determined on the Purchase Order, a Sub-Contractor Completion Form will then be issued and signed by both general contractor and sub-contractor.
When the invoices from the suppliers and sub-contractors arrive the amount will be matched and verified against the original Purchase Order.
11. If the amounts coincide, the supplier or sub-contractor will be paid and a Waiver of Labor and Material Lien will be issued. The Lien Waiver is issued to every sub-contractor and supplier.
12. The amount paid to each sub-contractor and supplier will then be inserted in the "Actual Cost" column of the Cost Variance Form. This allows the builder to maintain a running total of the profit. |
